The Problem

P1 Group is a construction service, fabrication and facility maintenance company that wanted to incentivize its employees to put an emphasis on workplace safety. They needed to change their safety incentive program to better fit with OSHA regulations, but that created a huge backlog of paperwork. With 1,500 employees filling out two safety checklists daily, tracking the incentive program created more paperwork than one person could log into an Excel spreadsheet. At one point, the coordinator in charge of logging the paperwork was requesting 40 to 60 hours of overtime simply to get caught up. “There were times I would go over to her desk, and her desk would be stacked with a foot of paper all the way around,” says Don Campbell, vice president of P1 Group.

The Solution

P1 Group wanted to tie completion of their daily safety checklists to an incentive program as well as find a way to clear up the data entry backlog. That’s where Markë One came in. Campbell had a pre-existing relationship with Markë One’s vice president of sales Kevin Everhart, and they took the challenge of building an online system for tracking the safety checklist completion and tying it into an incentive program to the team of programmers.

“We designed something, demoed it and took it to P1’s IT team,” Everhart says. “Don said, do you think this could ever be done, and we got it done.”

The result is a system that allows P1’s employees to log in, complete their JSA (job safety analysis) and receive points for completing them. Those points translate into money in the company’s incentive store, which they can easily access from their iPads and computers.

Employees can spend the money as they earn it or save it up to purchase a larger item. Merchandise ranges from $20 to $400 with 40 to 60 options available at a time.

Customization was the key to solving P1 Group’s problem.

“Not a lot of companies in our position would build a custom system,” says Todd Rasmussen, Markë One’s president. “We have the ability to have programmers custom build, which lets us be flexible to build things and adjust them to our client’s needs.”

Results

The custom solution for P1 Group has made a difference in compliance with the daily checklists. “We were hitting about 60% before we went to this technology, and even the 60% if they were turning their stuff in, the coordinator would still be logging from months before,” Campbell says. “Now, we’re hitting 92%.”

The automated system has also freed up the coordinator’s time to focus on other projects. Employees are happy with the incentive program, as well, and the variety of incentives is popular. Campbell used to give out jackets for a safety incentive, but not everyone wanted a jacket or sizing could be an issue. Now, everyone can pick out what they want in the size they need. “They love it,” Campbell says. “It streamlines their time. Rather than having to carry a binder around with them, they open up their iPad and click a link in their content locker. It’s all on one webpage. They can see what they can get for their points.”
